Welcome to the Backflow software!
The main purpose of the software is to manage cross connection programs. Managing cross connection programs include assigning test and survey work, performing the work, printing notices and invoices, documenting facility and device data, and report creation. Different types of user roles will have access to different parts of the software.
Control Panel
When the software first launches it will display the Control Panel which is used to manage the test and survey work for all active facilities and devices. Each column can be filtered and/or sorted and additional column options are available by clicking on the right side of each column header. From the Control Panel you can assign the work to specific technicians, add appointments, and change how the work is displayed to denote different work states.
Opening a piece of test or survey work from the Control Panel will open the Facility Screen as well as tabs for Facility Listing and Hazard Listing. Based on which type of work was opened, the survey form or test form/Hazard Screen will also be available.
The Backflow menu, located on the left side of the screen, is collapsible and allows the user to navigate to all parts of the application.
Facilities and Surveys
Facilities can be viewed or added from the Facility Listing screen which is accessible by selecting the ‘Cross Conn’ option from the left navigation menu. The Facility Listing screen is a complete list of facilities regardless of the value in the ‘Facility State’ field, so inactive facilities will also be listed.
The Facility Screen serves as the primary interface for managing facility information, including facility details, notes, contacts, and surveys. Facilities can be added, edited, and deleted.
All facilities with the ‘Facility State’ field set to ‘Active’ and the ‘Surveyable’ field set to ‘Yes’ will have a survey form available.
Devices and Tests
A facility can have many hazards and devices. A hazard refers to any potential source of water contamination, and the devices are used to prevent that potential contamination. A hazard may have more than one device associated with it.
Hazard and Devices can be added from both the Hazard Listing screen and the Hazard screen. The Hazard Listing screen displays all hazards and their associated devices for the open facility. The Hazard screen has options to add, edit, and delete the device, view hazard notes, as well as view completed tests.
Different types of contamination require different devices; the Backflow software allows for testing on RPZ, DCVA, PVB, and SRVB devices. The ‘Device State’ can be Active, Inactive, Replaced, Removed, or Proposed. All devices that are in an Active state will have a test form available.
When opening a test, the associated facility and device information will be prefilled at the top of the form. Required fields during backflow testing vary by device type. Test results of a Pass or a Fail will depend on entered values and state regulations.
Notices and Invoices
When a piece of test or survey work is completed, the Backflow software automatically generates a notice and an invoice, which are then added to their respective queue; Please note an invoice will only be generated if there is a price configured on the Client Config screen and ‘Invoice Exempt’ is set to ‘No’ on the Facility screen.
Notices and invoices appear in their queue for processing. Once processed, they move to their respective History screen. If second notices are configured to be sent, the software will automatically add the second notice to the queue after the specified number of days. Clients can send up to three additional notices.
Notes, Notifications, Reports
Notes
Notes can be attached to a facility, hazard, test, or survey. These notes provide a good history of interactions between facilities, user, and the work that is completed. Notes can be added but not edited or deleted, they are meant to serve a log. Test and Survey notes print on the test and survey reports.
Email Notifications
Email notifications for test reports, survey reports, notices and invoices can be enabled individually for each facility contact on the Facility Screen. In order for contacts to receive invoices and notices via email, the ‘Email Notices’ and ‘Email Invoices’ setting must be set to ‘Yes’ on the Client Config screen and can be enabled or disabled at any time.
Reports
Reports are available by selecting the “Dashboard” option from the left navigation menu. There are many reports available to assist in managing cross connection data including the ‘Year End Report’. There are also printable blank test and survey forms on this screen.
Configuration
Client Config
The Client Config screen contains client details, client specific software configuration, contacts, cities and prices for both test and survey work. Client Address fields will be present on generated invoices and notices. Pricing can be updated on this screen, if there are no valid prices configured then no invoice will be generated.
Approved Devices
A list of approved device manufacturers, make, model, size, and orientation can be found in the ‘Approved Devices’ section. If addition devices need to be added please contact support@idatacollect.com.
Test Kit
A valid Test Kit is required to complete a test on a backflow device, and all Test Kits must have unique Test Kit SN. Test Kits mat be added, edited, and deleted on this screen; permission to complete these actions will vary based on role.
Users
Clients can add, edit, and delete user information; permissions to complete these actions will vary based on role. When editing a user, updates can be made to their software access, technician status, license information, and identifying information.
Backflow Updates
The backflow software is updated frequently and is always trying to best suit the needs of the client. Updates about the most recent version can be found under the “version Info” tab.
