This article details how to add facility level notes from the Facility Screen. Facility notes are a useful tool for sharing information about a facility between users.
Add a Note
- Navigate to the Facility Screen via the Control Panel or Facility Listing Screen.
The Facility Notes section is located on the Facility Screen, under the Facility Contacts section.
Select “Add” from the buttons within the Facility Notes section
Select an option for the Create Note drop-down menu and/or type your note in the box. Facility level notes have a maximum of 500 characters, including the quick note text.
Entering Notes
There are multiple methods for entering a note. Users may select a quick note, enter text into the note field, or use both options. If both a quick note and a regular note are provided, clicking "Save" will combine them into a single entry.
Quick Notes
Quick notes are designed to be a quicker way to communicate information. You can create a quick note by selecting an option from the drop-down list.
Quick note options:
Temporarily closed due to the Coronavirus
Appointment Scheduled
In-person attempt
Called, left a message
Sent email
Ready to re-survey
Ready to re-test
Vacant
Large meter identified
Meter size unverifiable
Fire service pipe material and size
When you choose "Appointment Scheduled" or "Temporarily closed due to the Coronavirus" as your quick note, it will change the state of work on the Control Panel.
Standard Notes
A standard facility note can be up to 500 characters long and is only limited to ASCII characters. The software will not allow you to save notes that are longer than the max note length.
Select the “Save” button when you are finished.
When a note is saved, it appears in the Facility Notes section on the Facility Screen. Notes are automatically arranged with the newest at the top of the grid, and a scroll bar is added when notes exceed the box's size. If a quick note is included, users may access the Dashboard, run the notes report, and view all notes containing a specific quick note.
